Your wedding day is one of the most important, most special, and most memorable days of your life. But before you can make it a reality, you’ll need to find the perfect place to celebrate with all your family and friends.

Every newly-engaged couple faces the same daunting task of finding the right location, the right setting and the right feel for their ceremony and reception. And when you’re looking for the perfect Asian Wedding Venuethere’s so much you need to consider.

We want to make finding and choosing your dream venue as simple and hassle free as possible, so we’ve put together a selection of the essential questions you should ask when viewing any Asian wedding venue.

First steps – before you view any venue

Before you can ask any questions of an Asian wedding venue, you need to shortlist your favourites and decide which to visit.

There are so many different venues across the country, they key things to think about are how far you’re willing to travel, whether you want somewhere centrally located and easily accessible by all your guests, and what type of wedding you’d like to have.

At Heaton House Farm for example, we’re right in the middle of England, so guests coming from Manchester or London find us easy to access (with great transport links). We’re perfect if you’re looking for a countryside wedding – but if you’re dreaming of somewhere modern, sleek and fashionable in the city centre, we’re not for you!

So they key questions to ask yourself first are:

  • How far are we (and our guests) willing to travel?
  • What style of wedding would we like?
  • What type of venue would be ideal for us? E.g. big hotel, country farm, stately home, quirky museum etc.
  • How many guests are we inviting (roughly)?
  • When would we like to get married?

Those last two questions – numbers and dates – are important to have in mind when you start visiting any Asian wedding venues. And BE SURE TO ACTUALLY VISIT!

The only true way to know if a venue is right for you is to walk around and get a feel for it. Don’t rely on pictures or videos online.

Check the capacity of your venue

The initial questions to ask of any Asian wedding venue on your shortlist should be about capacity. If you’re inviting hundreds of guests, you’ll need to make sure they will all be comfortable on your big day.

You might just be looking for a reception venue, or you might want to hold civil and religious ceremonies at the venue too. Either way – be sure to ask about the capacity for every space, and how the logistics of your day will work.

  • How many guests can your venue hold?

Ask about maximum capacity. At Heaton House Farm, we can comfortably accommodate 350 guests, but have hosted weddings for over 600!

  • Is this inside the main venue?

Some venues state they have a large capacity, but you may find this only applies to additional outdoor structures like a marquee, and not the fixed venue itself.

  • If you are in marquee, what facilities are available?

At Heaton House Farm your wedding will always be in our main barns, with access to luxurious toilets, a lobby, and underfloor heating. Will you get this in an outdoor marquee?

  • Can we hold our ceremonies here?

Many Asian weddings involve both civil and religious ceremonies, so find out if your venue can accommodate these. For example, we have separate barns for separate ceremonies, and have special divides to hide religious set-ups before it’s time to reveal them.

  • Do you have the same capacity for ceremony areas?

If you’re holding civil and religious ceremonies, you’ll need to make sure all your guests can fit. Small side rooms might not be any use to you.

  • Can we extend or reduce the size of available spaces?

Some venues – like Heaton House Farm – may have the option to customise the available space, to make sure everyone is comfortable whilst avoiding any open ‘lost’ space.

Always ask about logistics

Once you’ve established a venue will suit your guest numbers, it’s important to make sure the logistics can match with your vision of the day.

That means ensuring your timings will all work, your guests will have everything they need, and your wedding will run smoothly. Some key questions to ask here include:

  • Is there space to congregate before/after the ceremonies?

Some venues might only have one or two main areas, and if they have other weddings, or other hotel guests, there may be very little space for your wedding party to wait in whilst rooms are being transformed. At Heaton House Farm, we have several barns to ensure you day flows perfectly, with no waiting around.

  • Will there be other weddings taking place?

In some large Asian wedding venues, you may find multiple weddings take place on the same day, and this can impact the logistics of your big day. You have exclusive use of the entire venue at Heaton House Farm.

  • Where will our guests stay overnight?

Always check on accommodation – ideally it should be onsite (we have 15 luxurious rooms right across the yard) – or be very close.

  • What about parking?

Space for parking can be an issue with some venues, and some places may charge. Our parking is free, extensive and on-site, but always be sure to ask.

  • How will the timings work on the day?

Sometimes many Asian couples think they need to start very early, to have the civil ceremony in the morning before a religious ceremony later. But because we have multiple areas, we can set-up for both so you don’t need to rush your day.

  • How will set-up and clean-up work?

  • Do you offer any help to coordinate things on the day?

There’s so much happening on your big day, you don’t want to be thinking about making sure everyone and everything is where they need to be. Ask your venue if they have anyone who can help organise your guests on the day, and if there’s a cost. We offer a dedicated events coordinator for all our couples, inclusive in our venue price.

  • Is there anything else we need to provide?

Always check what a venue provides. At Heaton House Farm, we have all the tables, chairs, and basic linen you’ll need – but some venues might need you to provide these yourself.

  • Do you have a safe place for bags, coats and gifts?

You might want to check with your venue that there is somewhere safe to store guests’ bags and coats, and your wedding gifts. This is especially important if your venue is in a public area – like a hotel – where other people might be wandering around. At Heaton House Farm, you and your guests have sole private access to the entire venue.

Do they have specific catering for an Asian wedding?

As with any wedding, the catering for your reception is going to play a big role, and it’s one of the big questions you should be asking when viewing a venue.

  • Do you provide the catering yourself?

Some venues will handle the catering themselves, so be sure to ask if they can accommodate your specific religious, cultural and dietary requirements – including providing Halal, Zabihah or Jhatka meat.

  • Can we bring our own Asian caterers or do you have an approved list?

Lots of venues allow outside caterers, so you might be able to bring your own. At Heaton House Farm, we have several, specially selected, authentic Asian caterers who know how our state of the art kitchen facilities work, and who can be trusted to provide an exceptional service for you.

  • Who provides plates and cutlery?

If you are responsible for your own catering at a venue, make sure to ask about the serving logistics. We work with our approved caterers to ensure it’s all taken care of for you, but always check!

And don’t forget to ask about drinks too. There are a few questions to bear in mind here, to make sure you get the best value for your day.

  • Can we bring our own drinks?

Some venues may allow you to bring your own, but might charge a corkage fee – this can be really expensive. Also, consider if you want the hassle of organising all your own drinks?

  • Do you have a paid bar? And are there any minimum spends?

A paid bar is the easiest, most cost-effective option in most instances, and that’s what we offer at Heaton House Farm. It means your guests can have exactly what they want, and you don’t need to worry about a thing. We don’t have any kind of minimum spend, but some venues might.

Can you have your ideal suppliers and entertainment?

When it comes to putting all the details into your big day, you’ll want to make sure you can create the style and décor you’ve always dreamt about. So when you’re viewing an Asian wedding venue, asking about suppliers and entertainment options is always important.

  • Can we bring our own vendors/suppliers?

Many venues – like us – have a recommended suppliers list. We have it to help makes things easier and point you in the right direction to vendors you can trust – but you can always bring in your own if you prefer, and we’ll work with them to ensure everything is perfect.

  • Are there any restrictions on decorations or themes?

Some types of venue won’t allow you to put up specification decorations, move things around, or dress the room exactly how you want, so always ask. Other than health & safety restrictions, you can decorate our venue exactly how you’d like – and we’ve had some really extravagant themes in the past.

  • Is there space and facilities for live music and/or a DJ?

  • Does the venue have sound/speaker equipment? Do we need to pay extra?

If you have lots of guests, you might want to ensure everyone can hear any speeches clearly by using microphones. You may have to pay extra to hire these, but at Heaton House Farm, we have a fully integrated sound system throughout our entire venue, included in our price.

Finally, ask about bookings and fees  

If you’ve successfully been through all of the above questions, you should have a very good idea about whether this is the perfect Asian wedding venue for you or not. The final questions to ask are about the specific details – cost, payments, and your chosen date!

First up, you’re going to want to talk about dates.

  • Ask if your requested date is free and if not, what other available dates they might have in your chosen month.

Many venues book up far in advance – we’re taking bookings for the next 3 years – but you might get lucky with last minute availabilities.

  • If you find a date you want, ask if you can hold it.

Most places should let you hold a date without any charge, for at least a week. Use this time to check with key family members!

Next, you’ll need to ask about costs and deposits.

  • What is the price to hire this venue?

It’s not a question you’ll likely forget to ask, but it’s still really important. Always ask about the extras too, as you’ll see below.

  • Do you have different rates for different times/days/months?

Most venues will have different prices for peak/off peak seasons, and the day you wish to get married. They should be open to telling you about all the different options you have available to you.

  • What kind of deposit do we need to pay?

Almost every venue will require a deposit of some kind. Always check what this involves, and whether it’s something you will get back.

  • Do you have any payment plans?

Some venues – like Heaton House Farm – might have a payment plan to help you spread the cost of a wedding. We have several options to help suit your financial plans.

  • Is VAT included?

Always ask about VAT. All our prices include VAT as standard, but there are some venues who will give you a price and then add on VAT after, which can increase the cost substantially.

  • Are there any additional or unexpected costs?

You should never find any unexpected or hidden costs in the quote given to you by a venue, but it’s always important to check. All our prices are completely inclusive, and we state exactly what you get. We have additional options, but all the basics you need are included. Some venues may charge extra for things like tables, chairs, cake cutting, lighting etc.

Lots of questions to ask – but trust your instincts

Well, that’s quite a comprehensive list of questions, but it should go some way towards helping you find the perfect Asian wedding venue for your requirements.

There’s lots to ask, and lots to think about. Your family will play a big part in your day, and may have their own cultural and religious requirements – your venue should understand this, and be able to help.
